I know that with the year of COVID everyone has taken hits to their businesses. Whether your budget is getting stretched farther than you thought it would, you are having more staff want to do work from home jobs, or you’re more stressed because people are waiting until it’s an absolute emergency to bring their pets in because they don’t want to risk catching COVID. These situations and more can add big strain to your clinic, so are you taking the steps to make sure that your office is running to the highest efficiency to make everything easier? Ready the tips in this post to make sure you are doing all that you can for your clinic, staff, patients, and yourself.

Tip number one: make a functional management structure. If you are the veterinarian, I guarantee you don’t want to be the one balancing the books, making sure there are office supplies, or dealing with pet information forms. All of the “office duties” should be going to an office manager or an office team. Don’t let yourself be stuck filling out unnecessary paperwork between appointments, have an office person trained to do those things so you can get back to patient care. This doesn’t mean that you are no longer involved in the functionality of your clinic, just that you are now looking at reports once a month instead of running to Costco to get more paper towels.

On the note of great staff and delegating tasks, make sure you are looking at the right numbers to determine clinic success. If you are looking at your bank account balance at the end of every week to see if you are being successful, that is working harder and not smarter. Have the person that you delegate book balancing draw up key indicators that are easy to identify to make sure that your clinic is still running on a profit and not a loss. Many CEOs make a scorecard or dashboard to easily see when things are going downhill and they have an easier time fixing the problem.
